Extranet Frequently Asked Questions (FAQ)

Project-Extranet is a quick and simple way to get up and running with your own branded Extranet that can be used to share files, dates, contacts, work logs and other useful project information with your customers or amongst your team.

We do our best to work closely with customers and trial accounts to answer any questions you have. We will post the more frequent questions and their answers here.

How do I make the Extranet look like it’s part of my website?

The Extranet is designed to work as a branded portal so we have made it easy to brand it to match your businesses look and feel.

You can perform this configuration via Settings > Display Settings section.

You can also change the location users get directed to when they log out, so for instance, send them to your website. This settings is found at Settings > System Settings.


The term “Project” doesn’t really work for me, can I change it?

Yes, indeed you can. We choose the term “Project’ as it was the most generic term we could think of. In fact for Project you could read “Account”, “Site”, “Customer”, “Classroom”, “Travel Group”, “Rental Property” … or whatever best fits in with your business.

To change the value of the default Project Term, simply go to Extranet Settings > System Settings, and edit the Project Term value.


Can all users see all Projects?

No, certainly not. Users have to be assigned to Projects in order to access them. If a user is not assigned to a project they have no access to it in anyway.

There are two ways to assign users to Projects. The first is via the Project Settings option, where you choose which users you want to access the Project. The second is via the Users configuration tab, where you choose the Projects the User can access.

You can use either dependant on the situation.


Do deactivated users count towards my allocation?

The quick answer is, no, only enabled users count towards your allocation.

Your Extranet comes with a number of user licences. This number is dependant on your plan and can be increased or decreased as you like. Each enabled user takes one user licence. As the Extranet audits all actions users take you cannot delete users but you can mark them as none enabled, via Settings > Users > Find the user then view then de-check the Account Enabled check box on the Account Details tab.

This prevents that user from logging in but also means that their licence is available for you to use with another user.


Can I get additional storage and users?

Yes, you can both increase and decrease the amount of storage and number of user licences available to your Extranet at any point. This is done via Settings > Account and Billing.

If you are happy with the number of users but need more space you can add additional space only. This is also done via the Accounts and Billing section, found under Extranet Settings.


What is an Extranet App and what is the Extranet App Store?

Can I create or commission my own Extranet Apps?

Yes you can, in fact it is where Project-Extranet really shines. Please read more in our Extranet Apps section.


Can I add an Email Signature to the footer of all notification emails sent out?

Yes you can. Extranet Settings > System Settings.


What is the minimum length of contract?

Project-Extranet is flexible so you can cancel at any point. You can also upgrade or downgrade your plan according to your needs, however if you are downgrading you will need to ensure you have ‘culled’ you projects and users to meet the new plan requirement.

Tools are built into the Account Management section (Extranet Settings > Billing and Accounts) to help you manage this process.


How do I get & find out about and get product updates?

Part of the beauty of cloud based services like project-extranet is when there is an update, it is automatically rolled out to all. We are adding new features both in the core product, and by way of new Extranet Apps all the time, and your Extranet will get these automatically.

What if I want a specific update of feature for my business, can you cater for that?
